1. Nature of offers
Offers logged on TrueBid are non-binding expressions of interest. They do not constitute a legally binding contract of sale. Standard legal contracts must be formally exchanged between the buyer and seller to complete a transaction.
2. The shared offer file
Offers sit on a shared record for the property until the vendor-set cut-off time.
- Append-only record. Nothing is edited. Nothing is deleted.
- Withdrawals. If a buyer withdraws an offer, it remains on the record clearly marked as Withdrawn.
- Cut-off times. The seller and listing agent set the review cut-off time and retain full authority to adjust or extend it.
3. Access and eligibility
Lodging an offer on TrueBid requires three steps:
- An official invitation sent directly from the listing agent.
- A registered buyer account on TrueBid.
- Successful completion of government identity verification (driver licence or passport).
Public users may register to view offer figures on the board. Only invited, ID-verified buyers can lodge an offer.
4. Visibility rules
- Owners and agents. See the full offer amount, terms, and buyer identity. The listing agent also sees the buyer’s mobile number. The owner does not.
- Other invited buyers. See the offer amount and basic condition status. Buyer identities remain confidential.
- Simultaneous notice. The owner and the listing agent receive automated notices at the exact same time when an offer is lodged, updated, or withdrawn.
5. CRM filing and record keeping
TrueBid is the offer board platform. The listing and agency relationship sit with the licensed real estate office running the sale campaign.
When a campaign concludes (an offer is accepted, or the property is withdrawn), the final offer file and accepted outcome are synchronised to the listing agency’s CRM (VaultRE) for statutory real estate record-keeping. The permanent offer history remains archived on TrueBid.
Identity documents are handled separately and never form part of the offer file. Identity documents uploaded by unsuccessful bidders are automatically and permanently deleted within thirty (30) days of the campaign concluding. TrueBid retains a record confirming that identity verification was successfully completed — not the uploaded documents themselves. The successful purchaser’s identification is provided to the listing agency to satisfy its statutory and legal obligations relating to the transaction.
