Privacy policy
Who we are
This privacy policy applies to TRUEBID PTY LTD (ACN 701 281 736) (“TrueBid”, “we”, “us”). TrueBid operates truebid.com.au.
TrueBid is an invitation-only offer board for real estate sales. We host the shared offer record. Each listing on TrueBid identifies the licensed real estate agency managing the campaign.
We voluntarily commit to the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth). Transparency is our core function, and we handle your personal information with the same openness.
What TrueBid is
TrueBid provides a shared file for non-binding property offers. The listing agent invites named buyers. Invited buyers register and pass identity verification. Offers are recorded on a shared file until a vendor-set cut-off. TrueBid is not an auction platform and does not host public browsing of offer amounts.
The information we handle
Buyers. Name, mobile number, and email address (received from the listing agency’s CRM when invited). Account registration details. Identity verification outcome (a pass/fail result and timestamp; TrueBid does not store copies of your driver licence or passport). Offer figures, terms, submission timestamps, and withdrawal status. Automatic technical logs.
Vendors. Name, contact details, property address, and notification history (received from the listing agency’s CRM).
Agents. Name, real estate licence details, and agency contact details.
How your data is shared on the offer board
Vendors see name, amount, and full conditions. The listing agent also sees your mobile number. The owner does not.
Other buyers see figures only. Amount and basic condition status. Never your name or contact details.
Withdrawn offers stay on record. Marked withdrawn. Never deleted.
Simultaneous notification. Owner and listing agent are told at the same time.
Why offers are retained indefinitely
Offer records are append-only. Once lodged they cannot be altered or erased. A correction is a new entry. Retained to satisfy statutory record-keeping including the NSW Property and Stock Agents Act 2002 and underquoting compliance.
CRM integration and direct marketing
Completed offer files and outcomes are synchronised back to the listing agency’s CRM (VaultRE). We do not sell personal information. We do not send third-party marketing. Transactional offer notices continue even if you unsubscribe from general updates.
Third-party processors
- VaultRE (Australia) — invitations and sale logs
- Supabase (Sydney, Australia) — offer ledger
- Render (United States) — application hosting
- Twilio (United States) — SMS
- Google Workspace (United States) — system email
No artificial intelligence systems process personal information within the offer path.
Security, access, and corrections
Encrypted in transit and at rest. Request access or account corrections at support@truebid.com.au. Lodged offer details cannot be deleted. Eligible data breaches are assessed under the Notifiable Data Breaches scheme.
Complaints
Contact support@truebid.com.au first. We respond within 30 days. You may then complain to the OAIC at oaic.gov.au.
Collection notice
TrueBid collects your name, contact details, and identity verification status to process your non-binding property offers. Your name and full offer terms are disclosed to the property owner and listing agent, while other invited buyers see only your offer figure. Offers are recorded on a permanent compliance file.
